What is On Time OR Scheduling?

On-Time OR Scheduling is a web based operations managment tool for emergency surgery.

What does the system do?

The On-Time system is intended to replace static scheduling systems such as whiteboards or clipboards. These older systems have some advantages but they don’t support the collection, analysis and distribution of digital information. That’s where On-Time comes in.

Why is this better?

There are several reasons:

  1. Less risk of error

Surgical case information is entered directly onto the emergency waitlist. This means that there is less risk of an error on your surgical care plan.

  2. Easy to maintain

Once the surgical data has been entered into the system the On-Time computer will automatically track all of the cases all of the time. This means that the whiteboard doesn’t have to be rewritten multiple times per day.

  3. A dynamic multi priority wait list

The On-Time system organizes the waitlist into a medically appropriate order by using a simple algorithm. The computer achieves this by inter collating multiple surgical timelines. This method also means that the waitlist is aranged in a fair and acountable way.

  4. Relational database

All of the surgery data is stored securely in a fully relational database. Important information about your surgery is more available and interpretable because it is in a digital format.

  5. Integrated team notification

On-Time Scheduling has an integrated SMS notification function. When your case is ready to go to the operating room your whole care team hears about it at the same time. If a surgical team member fails to respond to their text message the desk clerk gets a non-responder alert - this means that no one is left behind.

  6. Infographic analytics

This helps the surgical team managers make the best use of available resources going forward by providing provides utilization data in real time.

  7. Useful new metrics

There are new metrics unique to the On-Time system which give rapid insight into potential oportunities for improved productivity and improved surtgical outcomes.

Is it expensive?

The On-Time Scheduling system costs less to operate for a full year than certain common emergency operations. In other words, operating costs for On-Time OR are a small fraction of the overall costs of running an emergency surgery service.

Is it reliable and safe?

Our team recently completed a three month clinical trial. The On-Time OR Scheduling system had no shut downs or outages (in eighty-nine days of operation) and it showed no impact on patient safety.
